2. Website delivery and server logs
When the website is accessed, the contracted hosting provider and web server may process technically necessary information. This may include the IP address, date and time, requested URL, referrer, browser and operating-system information, status codes and error data. Processing is necessary to deliver the website securely and reliably, diagnose errors and prevent misuse. The legal basis is Article 6(1)(f) GDPR; our legitimate interest is the secure operation of this service.

Access logs are normally deleted after 14 days. They are retained for longer only where necessary to investigate a specific security incident.
3. Stakeholder contact requests
When you use the contact form, we process the contact, professional and organisational details provided, your stakeholder group, DAFG membership information, interests, intended attendance days, optional accessibility information and the recorded consent. We use this data to handle your enquiry, plan the event and contact you personally.
Depending on the specific processing activity, the legal basis is Article 6(1)(a), (b) or (f) GDPR. Consent may be withdrawn at any time with effect for the future.
4. Media accreditation
For accreditation requests, we process contact details, media outlet and editorial role, credentials, intended coverage, equipment requirements and organisational information. Data is used solely to assess, coordinate and administer accreditation. The legal basis is Article 6(1)(a) and (b) GDPR.
5. Contacting us
If you contact us by email or telephone, we process your details to handle your enquiry. The legal basis is Article 6(1)(b) GDPR where the enquiry concerns a contractual or participation relationship, and otherwise Article 6(1)(f) GDPR.
6. Recipients and processors
Access is limited to authorised DAFG staff and, where needed for operation, maintenance, delivery or storage, contracted IT, hosting and communications providers. Personal data is not sold or disclosed for third-party advertising. Transfers outside the European Economic Area take place only where an applicable legal basis and appropriate safeguards are in place.
7. Retention
Personal data is retained only for as long as required for the relevant purpose or by statutory retention obligations. Completed contact requests are normally deleted no later than 6 months after completion. Accreditation data that is no longer required is deleted no later than 6 months after the event. Statutory retention obligations and the necessary handling of ongoing matters remain unaffected.
8. Cookies, analytics and embedded media
The current version of the website does not use audience analytics or non-essential marketing cookies. Videos are initially displayed only as preview images. A connection to YouTube in privacy-enhanced mode (youtube-nocookie.com) is established only after you select play. Your IP address and technical connection data may then be transmitted to Google or YouTube.
The Google Maps view for the venue is also loaded only after an explicit click. Only then is a connection to Google established, which may involve processing your IP address and technical connection data. Alternatively, you can use the external directions link without embedding the map on this website.
9. Your rights
Subject to the GDPR, you have rights of access, rectification, erasure, restriction, data portability and objection. You may withdraw consent at any time for the future. To exercise your rights, contact info@dafg.eu.
10. Right to lodge a complaint
You may lodge a complaint with a data protection supervisory authority. The authority responsible for DAFG is, in particular, the Berlin Commissioner for Data Protection and Freedom of Information, Alt-Moabit 59–61, 10555 Berlin, mailbox@datenschutz-berlin.de.
11. Updates to this notice
We update this privacy notice when the website, service providers or legal requirements change. The version published on this page is authoritative.
